How Gmail read receipts work

Gmail lets eligible work or school accounts request a read receipt, which tells you when a recipient opened the message.

Can you request a read receipt in Gmail?

Gmail has a native read-receipt feature, but it is available only to eligible work or school accounts. A personal gmail.com account cannot use it. If your employer or school manages your Google Workspace account, availability also depends on the settings chosen for your account.

On a computer, start a new message with Compose. In the compose window, open the additional compose options with More options, select Request read receipt, and then send the message.

Why is the read-receipt option missing?

For a work or school account, also called a managed Google Workspace account, a missing Request read receipt control may reflect your organization’s policy. A Workspace administrator can turn receipts off, limit them to people inside the organization and selected outside addresses, or allow requests to any address.

Access can differ even between coworkers. Administrators can define sets of users and apply Gmail settings to the entire organization or to smaller sets called organizational units and configuration groups. As a result, two people at the same employer can receive different settings. Ask your administrator, “Which Gmail settings apply to my account, and do they allow read-receipt requests?” An administrator with the required permission can identify the organizational unit or configuration group that controls your account.

If you are the administrator, open Apps › Google Workspace › Gmail › User settings › Email read receipts in the Admin console. The account used to change this setting must have permission to change Gmail settings. Google calls that permission the Gmail Settings privilege. After a confirmed policy change, allow time for it to reach the account. Changes can take up to 24 hours, although they usually apply sooner. Waiting is useful only when an administrator has recently changed the relevant setting.

What happens after you request a receipt?

The recipient may see an approval prompt when opening your message. The prompt lets the recipient choose whether to return the receipt by selecting Send receipts or Not now.

Selecting Not now postpones the choice instead of permanently refusing it. Gmail asks again the next time the recipient opens the message.

Depending on the setting chosen by the organization that manages the recipient, the receipt may return automatically without a prompt or return only after the recipient approves it. A setting limited to the organization and specified outside addresses can use either approach, while a setting that permits requests from any address requires recipient approval.

Why didn’t a Gmail read receipt come back?

First, separate a missing receipt from a delivery failure. Confirm that the message appears in Sent Mail rather than Drafts, and allow time for a delivery error to arrive. If Gmail cannot deliver the message, it sends an automated bounceback containing an error. Look in Inbox and Spam for a Gmail delivery-failure notice from Mail Delivery Subsystem.

Gmail does not return read receipts for messages sent to group mailing lists or aliases. When the recipient is outside your organization, restrictions that your administrator has placed on outside addresses can also prevent a receipt from returning. You can ask your administrator whether such a restriction applies to your account.

The email app on either side can prevent a return. Some apps do not support read-receipt requests, so unsupported sender or recipient software may leave you with no receipt. Other limits depend on the ways an email app connects to a mailbox. The technical examples include programs that synchronize through POP only when asked, Google Workspace Sync, and some IMAP configurations, all of which may fail to return a receipt. Some mobile email apps do not support read receipts, but that doesn’t mean every Gmail mobile app lacks support. An email app can also silently ignore the request without giving the sender a diagnostic message.

Your own Workspace administrator can inspect the policy governing your account. If the recipient belongs to the same managed organization, that administrator can also inspect the policy governing the recipient. The administrator cannot infer hidden settings inside an unrelated recipient organization. Recipient choices and software in that outside organization remain beyond the sender’s view.

Once the message is in your sent folder, no delivery-failure notice has arrived, and the address is not a known list or alias, there may be nothing else you can verify. An opened message can produce no receipt, and a generated receipt can fail to arrive, so the absence of a returned receipt leaves the open question unresolved.

What does a returned Gmail read receipt prove?

A returned Gmail receipt arrives as an email containing a time and date associated with the message being opened. The email reports an event recorded by receiving software.

A read receipt, technically called a message disposition notification, reports what receiving email software did with a message after successful delivery. Its displayed status means an email app displayed the message to someone accessing the mailbox. That status doesn’t guarantee that the person read or understood the content.

Software can record that status without the action a sender might expect. For example, an IMAP email program may mark a message as read without opening it and still produce a receipt. The time and date identify when the reported software event occurred, rather than a separate action by the person using the mailbox.

A read receipt is not proof that the email was delivered.

What to do when you need a timely answer

If timing is the main concern, pick a sending time deliberately instead of relying on a tracking notice that the email was opened. Consider the recipient’s likely schedule, the urgency of the request, and when you can respond if they write back. Choose when to send an email based on those practical factors rather than waiting for a read receipt.

If someone already made a commitment, remind them of it in concrete terms. State what they agreed to do and by when, then tell them what you need from them now. A clear reminder email gives the recipient enough context to act without searching through the whole thread. If a deadline has changed, say so directly and give the new date.

If your original request received no answer, reply in the same thread and restate the decision or information you need. Keep the request easy to find, add any deadline that genuinely affects the work, and offer concrete meeting times if a short conversation would resolve it faster. A follow-up after no response should help the recipient answer the original question instead of asking whether they saw the earlier message.
